About the role

Are you an organised and energetic project professional who is passionate about helping projects to succeed? If so, we’d love to hear from you. We are recruiting for a Project Coordinator to sit across a range of projects relating to digital transformation and innovation at the CSP. This role will be a crucial part of our Innovations team, enabling successful delivery of digital transformation projects at the CSP.

Working closely with project managers, our Innovations team and stakeholders across the organisation, you’ll ensure that projects run smoothly, stay on schedule and meet key deliverables. To provide support for the management of a range of innovation and digital transformation projects across the CSP.

Responsibilities

Main Duties and Responsibilities:

  • Provide support on CSI projects/workstreams, and support project managers using project management methodologies and structures.
  • Act as the primary point of contact for project teams and provide advice, guidance and assistance to ensure effective delivery of the projects
  • Co-ordinate planning and scheduling projects, working with the project managers and sponsors to ensure projects meet their key milestones and coordinating operations and logistics for projects (including with external stakeholders).
  • Engage with relevant stakeholders, including project teams, other CSP staff, CSP members, contractors and external stakeholders as necessary, to develop positive relationships in order to contribute to the successful delivery of the projects.
  • Contribute to and co-ordinate progress reporting for each project, communicating effectively in writing and verbally to a range of audiences as necessary.
  • Create and implement project management documents for each project, using agreed templates, ensuring information is disseminated and managed through all appropriate channels.
  • Be responsible for the monitoring, updating and reporting of the risk register for the projects, working with the project managers and sponsors to mitigate any identified risks/issues.
  • Be responsible for the day-to-day management of project budgets, including monitoring, updating and forecasting to project managers and sponsors, identifying potential over- and underspend, and monitoring contracts.
  • Provide support to project meetings, both formal project governance meeting groups and informal meetings, including scheduling meetings, producing and disseminating papers, and making logistical arrangements.
  • Perform elements of the evaluation activity for projects, including supporting the Project Manager in scheduling and running evaluation workshops with key personnel and producing a lessons learned document.
  • To work collaboratively and flexibly to ensure common understanding of operating models, processes and activity, ensuring cover for team absence, support at meetings and to cope with sudden increases of workload.
  • Support the Digital Transformation Programme Manager with maintaining key programme management documentation and templates, including maintaining the team SharePoint site with up-to-date information.
  • Maintain accurate filing and archiving systems in line with the CSPs systems.

Skills, Competencies, Experience & Attributes

Previous Experience:

  • Experience of co-ordinating and supporting projects, including completing work to tight, pre-agreed schedules.
  • Experience of budget management, including working with electronic financial systems and undertaking budget reporting and forecasting
  • Experience of relationship management providing support to internal and external stakeholders
  • Experience of working as part of a team with colleagues based both remotely and in the office

Skills & Knowledge:

  • Excellent written and verbal communication skills, and numerical skills.
  • Ability to contribute to planning of schedules of work – both individually and across projects.
  • Ability to work appropriately under one’s own initiative with minimal supervision, as well as collaboratively in a team, acknowledging when escalation of decision making is necessary.
  • Ability to demonstrate leadership behaviours in one’s own role, and to manage upwards where appropriate.
  • Intermediate knowledge of Microsoft Office Suite including Word, Excel, PowerPoint and e-mail systems.
  • Experience or understanding of using Agile/Scrum techniques in project delivery.

Required Qualifications

  • Degree level or equivalent learning/experience to this level.

Compensation & Benefits

  • 27 days’ annual leave plus bank holidays (pro rata)
  • Office closure between 25 December and 01 January

  • Hybrid model, working in the London office and remotely
