Stroke Association is the UK’s leading charity providing lifelong support for all stroke survivors and their families. We provide tailored support to tens of thousands of stroke survivors each year. This support includes one-to-one and group support, funding vital scientific research into stroke prevention, acute treatment, recovery, and long-term care, and campaigning to secure the best care for everyone affected by stroke.

About the role

We’re looking for an enthusiastic, highly organised and proactive People Assistant to join our fast-paced, friendly People Team. Focusing mainly on the recruitment side of practice, you will act as the first point of contact for all recruitment-related queries while supporting managers through the recruitment and onboarding process. This is an exciting time to join our team as you will play a key role in supporting the implementation of a brand new Applicant Tracking System. You’ll also support the wider People team, as and when needed, with general HR related queries, including absence and volunteering.

To provide high-quality administrative support that ensures effective implementation of people policies and practices aligned with our People Strategy and People Value Proposition. This role plays a key part in fostering a positive, compliant, and supportive working environment where staff and volunteers can thrive. The role will:

  • Support the consistent and efficient delivery of people-related administration that reflects and reinforces our organisational culture.
  • Offer reliable and compliant administrative support and guidance in line with best practice and employment legislation.
  • Help ensure smooth operational delivery of people policies and practices across the organisation.
  • Contribute to personal and team development to continually enhance service delivery.

Responsibilities

  • Acting as the first point of contact for all recruitment-related queries while monitoring all recruitment inboxes.
  • Acting as the primary support for all recruitment administration, including requesting right-to-work checks, drafting offer letters and contracts, and requesting references.
  • Advertising job and volunteer adverts both internally and externally
  • Liaising with recruitment agencies as and when needed.
  • Supporting the implementation of our new applicant tracking system (ATS), helping to streamline and modernise our recruitment processes.
  • Raising purchase orders and managing goods receipting processes.
  • Maintaining accurate HR systems and databases, including updating recruitment trackers and personnel records.
  • Working closely with the People Advisor to ensure a seamless, supportive, and efficient People function across the organisation.

Skills, Competencies, Experience & Attributes

Essential Criteria:

  • Experience of delivering excellent customer service in a busy administrative environment
  • Proven experience providing accurate and timely HR administration support to a busy team in a fast-paced environment
  • Skilled in creating a variety of documents, including letters, reports and presentation materials.
  • Able to handle sensitive information with diplomacy, discretion and maintain confidentiality.
  • Confident at using Microsoft Office packages and databases and HR systems with intermediate IT skills and the ability to maintain accurate records
  • Ability to learn and confidently apply new processes, systems and ways of working.
  • Strong written and verbal communication skills, with the ability to provide clear, professional and helpful information to both internal and external stakeholders at all levels.
  • Ability to build effective working relationships with people at all levels, both internally and externally.
  • Strong attention to detail.
  • Ability to organise, prioritise and manage own workload effectively to meet deadlines.
  • Proactive, professional and solutions-focused approach to work with the ability to use initiative and seek support when needed.
  • Strong interpersonal skills, with the ability to collaborate and deliver positive, customer-focused service.
  • Flexible in working arrangements and prepared to travel if required.
  • Awareness of diversity, equity and inclusion principles, with a commitment to applying these in day-to-day work.

Required Qualifications

  • A CIPD level 3 qualification and/or proven experience in HR administration, with a focus on recruitment.
