About the role

2026 is our 80th year and an exciting time to join the Soil Association. We have an ambitious strategy to 2030 with inspiring, scalable projects which deliver impact across the food system. We are seeking a highly organised and proactive Fundraising Administrator to play a key role in supporting our fundraising team and helping us deliver our fundraising strategy. This varied role sits at the heart of the team, providing essential support across administration, CRM management, prospect research, supporter communications, due diligence, financial processes and meeting coordination.

Working closely with colleagues across the organisation, you will help ensure excellent stewardship of supporters, efficient team operations and the successful delivery of fundraising activities that enable us to create a healthier, more sustainable future. You are a highly organised administrator with excellent attention to detail and a proactive approach to managing a varied workload. You enjoy working with processes, systems and data, and are confident using digital tools, databases and Microsoft Office applications.

You have strong communication skills, both written and verbal, and are comfortable preparing information for different audiences while building positive relationships with colleagues and stakeholders. You are self-motivated, adaptable and able to prioritise effectively in a fast-paced environment. To play a key role in the team by providing superb administrative support with processes including prospect research, data entry, logistics and coordination for travel and meetings, as well as comms and marketing to help deliver our fundraising strategy. 

Responsibilities

Administrative Support:

  • Manage core team processes including :
    • Invoicing
    • Scheduling internal & external meetings
    • Maintaining accurate CRM database records for
    • Tracking opportunities and recording donations on the CRM
    • Monitoring KPIs for all teams
    • Providing monthly updates on income and expenditure to the fundraising leadership team
    • Direct and respond to enquiries from our team inboxes

Supporter Communications:

  • Support with drafting regular communications such as thank you letters and updates.
  • Deliver content updates to the team’s section of the
  • Soil Association’s website and be the key contact with the Digital Team

Due Diligence:

  • Carry out first stage due diligence for all potential corporate partnerships
  • Complete due diligence records for all other donations, including high value gifts and Trusts & Foundations
  • Keep due diligence logs up to date and report to fundraising leadership team

Prospect Administration:

  • Support research of prospective funders for qualification and associated administration
  • Undertake other tasks as agreed with your line manager.

Skills, Competencies, Experience & Attributes

Knowledge & Experience Essential:

Extensive experience in some of the following:

  • Providing administrative support
  • Researching and internet-based research
  • Organising and managing processes such as payments and due diligence.
  • Preparing information for external audiences 

Personal & Qualities:

  • Ability to cope with pace and change.
  • Excellent organisational and administration skills.
  • Excellent written and verbal communication skills.
  • Attention to detail
  • Numerate and analytical
  • Self - motivated and able to prioritise.
  • Work effectively in a team.
  • Empathy with and understanding of the aims and objectives of the Soil Association.

Skills:

  • Competent IT skills with good working knowledge of MS Office (Word, Excel and Outlook)
  • Competent IT skills for working with databases
  • Competent design skills in Canva

Desirable:

  • Extensive experience in some of the following:
    • Marketing, communication and social media experience
    • Working in a fundraising team
    • Budgets and financial monitoring.
    • CRM databases, in particular Beacon
