About the role
The Royal College of Radiologists (RCR) is working with Macmillan Cancer Support on a project looking to reform cancer multidisciplinary team (MDT) working, a key commitment in the 2026 National Cancer Plan for England. The Project Assistant role will support the delivery of this work, which is set to transform how cancer teams work for the benefit of patients, clinicians and other professionals involved in cancer care.
This post holder will play a vital role in supporting the smooth running of this project, from acting as the first point of contact for enquiries relating to the project, to scheduling meetings with senior stakeholders and tracking actions.
Responsibilities
Managing Enquiries and Correspondence:
- Act as the first point of contact for internal and external enquiries relating to the project.
- Ensure emails are effectively triaged and provide prompt responses to enquiries where appropriate.
- Send relevant correspondence to stakeholders and log feedback received.
- Track meeting actions, ensuring action owners are clear about what is expected of them, including the relevant deadlines involved.
Supporting Meetings:
- Facilitate meeting logistics, including scheduling, invites, sharing joining links to remote meetings, preparing rooms for in-person meetings, and ordering catering when required.
- Attend meetings online, in-person, or hybrid to ensure their smooth running and to optimise attendee experience by troubleshooting issues and recommending improvements where appropriate.
- Keep accurate meeting minutes.
- Circulate meeting minutes and prepare initial draft action logs for review shortly after the meeting.
Supporting Wider Project Delivery:
- Work with the Project Manager and other colleagues to develop accurate reports on project progress, using up-to-date activity logs.
- Work with executive officers to organise travel for RCR Officers and other colleagues where required.
- Support effective delivery of stakeholder events, including preparation of relevant pre- and post-event materials or resources as needed and collecting attendee feedback.
- Collaborate with the Project Manager to share updates on project progress with internal colleagues and RCR members.
General:
- Maintain and manage records in accordance with the RCR’s data protection policy and guidance.
- Maintain documentation on all activities carried out.
- Undertake such other duties appropriate to the level of the postholder’s qualifications and experience as may be required by the RCR from time to time.
Internal Working Relationships:
- Project Manager Cancer Multidisciplinary Team Reform.
- Colleagues in External Affairs – including close working with the Policy and Public Affairs Manager.
- President, Vice-President for Clinical Oncology and other RCR Officers.
- Communications Directorate colleagues.
- Assorted colleagues across the RCR.
External Working Relationships:
- Macmillan Cancer Support is keeping updated with project progress and seeking input into project outputs.
- NHS England Cancer Programme and Department of Health and Social Care Cancer Policy Team.
- Other medical royal colleges, special interest groups and relevant health charities share information, seeking input and achieving consensus.
Skills, Competencies, Experience & Attributes
Knowledge, Qualifications & Experience:
- Experience in general administrative tasks and responsibilities, using Microsoft packages including Outlook, Word, Excel and Teams.
- Experience in scheduling meetings, keeping minutes and tracking actions.
- Experience of successful working within a team and the provision of a professional, friendly, and reactive service to colleagues and external stakeholders.
- Experience of collaborating closely with speakers and external stakeholders to source and prepare content (slides etc) for events.
Skills & Abilities:
- Accurate use and understanding of English.
- Proven organisational and administrative skills, with good attention to detail and a proactive working style.
- Good project and time management skills, with an ability to manage competing priorities, adapt where needed, and work successfully both independently and as part of a collaborative team.
- Ability to use initiative, identify improvements to ways of working and suggest and implement solutions to problems, knowing when to consult or involve colleagues and stakeholders
- Ability to effectively evaluate and reflect on personal performance and learning from team projects to identify and act on areas for improvement
- High-level oral and written communication skills, with the ability to tailor for different audiences.
- Ability to report clearly on project progress.

Required Qualifications
- Educated to A-Level or equivalent, with a good standard of literacy and numeracy.
