About the Organisation
Institute and Faculty of Actuaries (IFoA) is the UK's chartered professional body dedicated to educating, developing and regulating actuaries based both in the UK and internationally. The IFoA regulates and represents over 34,000 members worldwide, overseeing their actuarial education at all stages of qualification and development throughout their careers. We set examinations, continuing professional development, professional codes and disciplinary standards for our members.
About the role
Provide high-quality administrative support to the IFoA’s governance bodies. This includes supporting the secretariat of the IFoA Board, Council, Regulatory Board and other key committees, as well as the IFoA’s disciplinary hearings and tribunals and independent appointments processes.
Responsibilities
Meetings and Planning:
- Responsible for scheduling and organising meetings for key boards and committees.
- Prepare and distribute papers, agendas and supporting documents.
- Attend meetings, where required, to take minutes and capture actions.
- Maintain action lists and follow up outstanding actions.
- Arrange logistics, including venues and virtual meeting links.
Disciplinary Hearings and Tribunals:
- Assist with practical arrangements for the setting up and operation of the IFoA’s independent disciplinary panels and tribunals.
- Assist in publishing or issuing key disciplinary documents.
Governance Support:
- Provide administrative support with statutory filings, regulatory returns and disclosures.
- Maintain registers (interests, gifts and hospitality, committee/board membership and attendance, policies).
- Support annual governance timetables and forward plans.
- Provide administrative support for elections.
- Provide administrative support for governance reviews and audits, as required.
Stakeholder Engagement:
- Act as a key point of contact for governance queries, including those from senior stakeholders.
- Assist with practical arrangements for governance events, AGM or in-person meetings.
Skills, Competencies, Experience & Attributes
Knowledge & Experience Essential:
- Experience in an administrative or office support role.
- Reliable and organised, with strong attention to detail.
- Excellent written communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong digital skills, including MS Office.
Desirable:
- Experience of working for a professional body or membership organisation.
- Experience supporting meetings and committees.
- Experience of setting up disciplinary and legal hearings.
Decisions:
- Will be expected to use initiative and proactively manage administrative aspects of the IFoA’s governance.
Additional Dimensions:
- Will be required to handle sensitive and confidential information.
- Will be expected to engage appropriately with senior stakeholders and, in relation to disciplinary matters, with process users.
Working locations
- Hybrid model, working in the Edinburgh office and remotely
