COBIS is looking to appoint an Events Executive to join the team from September 2026 to support with an exciting calendar of global professional learning courses and conferences, as well as student activities and competitions for schools worldwide. The Events Executive will contribute to the administration, logistics and high-quality delivery of the wide range of COBIS CPD and student events. The role will take on a variety of administrative duties to ensure COBIS events (online, hybrid, and face-to-face) run smoothly and successfully.
Responsibilities
Event Responsibilities:
- Live CPD administration: To support the CPD team with the administration of COBIS events including the Annual Conference, Bursars/HR Conference, Marketing/Admissions, and Teachers’ Conferences. This includes collating information for the conference programme, processing bookings, liaising with delegates, exhibitors, sponsors, speakers, and host schools, collecting seminar choices, preparing feedback forms, and other administrative tasks.
- Online CPD administration: To support with the administration and delivery of the portfolio of online CPD courses, including managing booking forms (via Arlo platform; training will be provided), dealing with booking queries, preparing joining instructions, liaising with delegates, and circulating feedback forms and certificates.
- Conference delivery support (face-to-face and virtual): To support with the delivery (online, hybrid or face-to-face) of COBIS conferences. This includes on-site support for face-to-face events including liaising with AV, speakers, delegates, exhibitors, and venue staff; contributing to management of virtual/hybrid event platforms (training will be provided); set-up and management of Zoom sessions; running practice sessions.
- Student event administrative support: To support the Student Engagement and Events Officer with the administration of COBIS student events and competitions.
- Communications support: To work with the COBIS Communications team to help promote CPD and student events across multiple channels including email, social media, newsletters and printed collateral. To update and publish content on the COBIS website and other designated platforms and channels relating to COBIS CPD conferences, training courses plus student and school workforce events. To prepare copy for promotional emails for CPD and student events.
- Post-event support: To contribute to post-event administration. This includes preparing and circulating feedback forms, certificates, prizes, thank you letters; preparing newsletters and news posts; uploading recordings.
- Data management: To track and log engagement figures and other metrics from COBIS CPD and student events, and contribute to maintenance and administration of the COBIS MIS (Ninox; training will be provided).
- Data Protection: Be responsible for ensuring that all areas of work practice reflect compliance in relation to General Data Protection Regulations (GDPR) and associated good practice.
Relationship Management and Customer Service Responsibilities:
- Represent COBIS with a high level of professional credibility at internal and external conferences, meetings and events, in the UK and potentially overseas.
- Provide outstanding customer service at all times, including responding to enquiries in a timely and professional manner.
- Actively promote and support the COBIS commitment to safeguarding, child protection and the welfare of children, young people and adults
- Maintain a working environment in which equity, inclusivity and diversity are respected and responded to, and equality of opportunity is promoted
- Ensure a positive image to members and other individuals and organisations and promote the COBIS brand, activities and services by whatever means are appropriate and available.
- Attend the COBIS Annual Conference in London in May and provide support as required
Skills, Competencies, Experience & Attributes
Essential:
- Strong administration and organisational skills, with excellent attention to detail.
- Excellent literacy and numeracy skills.
- Secure ICT and digital skills with the ability to use Microsoft Office Suite (Word, Excel, PowerPoint) with confidence, and the ability to learn new digital platforms (with training).
- Strong interpersonal and communication skills and experience building positive relationships and providing outstanding customer service
- Demonstrate accuracy and clarity in all written and verbal communications.
- Able to work effectively with a range of stakeholders within the education sector.
- Proven ability to prioritise and manage time effectively and be able to adapt and respond flexibly to the unexpected.
- Able to manage multiple projects and tasks simultaneously.
- Committed to safeguarding, child protection and promoting the welfare of children, young people and adults and to engage in associated continual professional development in this area.
- Training will be provided.
- Able to work as part of a team but also comfortable to work alone and proactively manage own workload in a fast-paced environment.
- A fast learner who is able to quickly pick up and apply knowledge and skills.
Desirable:
- Previous experience in a comparable administrative or event management role
Required Qualifications
- Educated to degree level or equivalent.

- Half-hour for lunch, but flexibility around hours would be considered.
- Holiday entitlement of 25 days (pro rata) plus statutory bank holidays

Conditions of employment
- Candidates must be based in the UK and eligible to work in the UK
Working locations
- Hybrid model, working in the London office and remotely
- The candidate will be required to attend the COBIS Annual Conference, which takes place over 3 days in London in May
