About the role
The Royal College of Psychiatrists is looking to appoint an efficient and driven individual to support our Divisions’ executive committees. Taking your own initiative will come as second nature, and you will enjoy working as part of a team to ensure that meetings and other member engagement activities run as smoothly as possible.
You will have a proven record of working in an administrative support role supporting committees, and you will be able to demonstrate that you can deliver a high level of customer service. You will have strong interpersonal skills as well as experience in using electronic databases and CMS. Flexibility and self-reliance are essential.
Responsibilities
Key Responsibilities:
- Support the Divisions’ Committee Managers with the appropriate
- Executive Committee and its working groups, including the preparation of minutes, agendas, follow-up action, and correspondence.
- Support the Deputy Head of International, Devolved Nations, with administrative tasks related to England-wide activities and initiatives
- Provide administrative support for the recruitment of Regional Advisors, Deputy Regional Advisors, and Regional Speciality Representatives in the Divisions
- Manage general maintenance to the Divisions’ web pages and assist with the management of the Divisions’ social media accounts.
- Support the Divisions’ Committee Managers with the preparation of eNewsletters, including distribution to Members.
- Maintain the College’s central database.
- Maintain office stationery and maintain all archive records and filing, both electronic and manual
- Deputise and provide cover for the Divisions’ Committee Managers.
- To be prepared and willing to travel across England and stay away overnight when required.

Skills, Competencies, Experience & Attributes
Essential:
- Good experience of working in an administrative/secretarial post, and equivalent
- Excellent interpersonal and communications skills
- Proven experience in the use of database management and electronic filing
- Excellent organisation and time management skills
- Ability to work without close supervision and to prioritise work effectively
- Ability to work flexibly
- Ability to maintain confidentiality in adherence to Data Protection legislation
- A track record of delivering a high level of customer service
- Willingness to travel and stay away overnight
Desirable:
- Experience in event administration and similar
- Experience of working as a member of a small team
- Experience in web editing and management of company social media accounts
- Knowledge of the NHS and an understanding of mental health issues
