About the Organisation

BAUS is a registered charity and a professional membership association dedicated to ensuring the highest standards in the practice of urology for the benefit of patients. Urologists and urological teams treat a broad spectrum of conditions across all age groups. Urology is one of the most varied branches of surgery and encompasses diseases of the kidneys, bladder, and prostate, including incontinence, erectile dysfunction, infertility, cancer, and reconstruction of the genitourinary tract.

It caters to patients of both sexes and all ages, from children to older adults. BAUS supports healthcare professionals who treat urological patients to deliver excellent care by developing guidance for clinical practice, providing education, and fostering research. We have a membership of circa 2500 members from medical students to consultants & associated urological specialists practising in the UK, and also have an international membership. The motto of BAUS is ‘united strength is stronger,’ and the Association’s strength continues to derive from the commitment and support of our members who make BAUS their professional home.

The medical, political, and social landscapes in the UK have been fundamentally re-shaped, including by the challenges of COVID-19, and it is therefore imperative for BAUS to have a clear focus going forward to ensure the Association remains relevant to its members and the services they provide for their patients. A new four-year strategic plan was published in 2023, which highlights three strategic themes – membership, education, and the provision of urological services – and two supporting themes – digital and communications, and widening participation.

About the role

The position will provide high-quality administrative and operational support to the BAUS Governance and Committees Lead, with a particular focus on coordinating elections, awards and committee meeting processes for the six BAUS Specialist Committees. You will administer the full cycle of Committee elections, appointments, awards, fellowships and bursaries, including maintaining schedules, preparing nomination and voting processes, collating applications, communicating outcomes and keeping accurate records. The role will also provide practical meeting management and general administrative support, including preparing meeting packs, arranging logistics, maintaining contact lists and attendance records, supporting inbox management and ensuring governance information is accurate, accessible and up to date.

Responsibilities

Elections:

  • Coordinate end-to-end elections, appointments and committee membership processes for the BAUS Specialist Committees, including schedules, nominations, voting arrangements and results communications
  • Maintain up-to-date committee membership lists and a schedule of upcoming elections and role vacancies

Awards and Bursaries:

  • Schedule and administer nominations, voting and appointments processes for BAUS Section annual awards, fellowships and bursaries, ensuring deadlines, eligibility information and communications are managed effectively
  • Liaise with Committee Executive Officers, committee members and external education providers

Meeting Management:

  • Provide meeting management support for face-to-face and virtual committee meetings, including scheduling, meeting packs, room and catering arrangements, Teams set-up, attendance records and practical support on the day

Governance & Committee Support:

  • Manage governance records, registers and digital platforms
  • Provide additional administrative support as required, including updating the CRM, maintaining records, preparing correspondence and supporting routine governance communications
  • Manage methods, processes and procedures for documentation of governance activity
  • Provide governance website updates and draft information for the BAUS Communications Manager for inclusion in newsletters and digital media
  • Ensure adherence to record retention policies and ongoing management of governance records.

Administration:

  • Provide administrative and coordination support for education events, as required
  • Coordinate and administer induction processes for Section Executive Officers
  • Administer and collate the output of BAUS surveys
  • Explore use of /facilitate adoption of digital technologies and AI to streamline administrative processes to improve outputs

Skills, Competencies, Experience & Attributes

Experience & Qualifications Required:

  • Minimum of three years’ experience working in a similar administrative function in a professional body
  • High level administrative experience in a busy environment
  • Proven ability to prioritise and manage multiple assignments at any given time and meet deadlines
  • Excellent attention to detail
  • Technical proficiency; strong IT skills and competence with document management systems
  • Exceptional communication skills

Compensation & Benefits

  • Annual leave: 25 days annual, plus bank holidays and normally days off between Christmas and New Year

Working locations

  • Hybrid model, working in the London office and remotely
