About the role
The Inshore Boating Support Administrator is an employee of The Marine Society & Sea Cadets, and is a member of the Learning Directorate, based at Weymouth National Boat Centre, working under the Head of Inshore Boating. Sea Cadets deliver thousands of hours of boating activity each year, with the number of assets, personnel and training locations across the UK requiring significant data management to help support and assure the overall charity.
As one of two administrators, you will assist in keeping records updated, managing database information, assisting with the training programme admin and liaising with colleagues, volunteers, parents and external stakeholders. Working with the team, we review the data to identify trends in training, safety and asset management to inform our decision-making.
The role is hybrid, with at least some fixed office time each week to touch base and collaborate with colleagues. The Inshore Boating Support Administrator works on the development and administration of processes and policies that support our on-the-water activities, assisting with routine correspondence on all matters relating to the Inshore Boating department.
Responsibilities
Key Responsibilities:
- Answering and signposting enquiries received by email, post and phone.
- Updating and amending held records on all boats and boating equipment across the charity.
- Management and tracking of data to review and identify trends.
- Support the updating of personal records as required, and support the progression of volunteers through to instructor training.
- Supporting the Head and Assistant Head of Inshore Boating with the admin of the department.
- Support the admin in the wider learning team
Other Duties:
- In order to deliver services effectively, a degree of flexibility is needed, and the post holder may be required to perform work not specifically referred to above. Such duties, however, should not normally exceed those expected of an employee at that level.
- As part of the initial induction in order to get to know the Sea Cadets, the post holder will be encouraged to assist as a volunteer with evening activities within a local unit (details to be agreed) for a period of one month within the first year of employment.
- All employees are expected to take responsibility and comply with the MSSC’s policies, procedures and training requirements, particularly in relation to safeguarding, health and safety, data protection and equality, diversity and inclusion. All employees must be familiar with and comply with all aspects of MSSC policies
Skills, Competencies, Experience & Attributes
Experience, Knowledge & Qualifications:
- Use of IT to manage data provides management information and identifies trends
- Experienced in the use of Microsoft Office programmes, EXCEL and Office 365 tools,
- SharePoint and MS Teams
- Experience with Oracle-based databases
- Operating within an assurance framework
- Budget/financial management
- Working as part of a team, demonstrating a flexible and innovative service
- Engaging, influencing and enthusing colleagues, volunteers
- Experience in developing and managing business-to-business relationships

- Experience of being afloat or a Boating qualification (Royal Yachting Association, and Paddle UK)
