About the role

Are you an organised, people-focused administrator looking to make a meaningful impact? The Royal College of Psychiatrists is seeking a Human Resources Administrator (Patients and Carers) to join our HR Team and play a vital role in supporting and empowering people with lived experience of mental health services.

As HR Administrator (Patients and Carers), you will provide high-quality administrative support across the full recruitment and onboarding journey for our patient and carer workforce. You will help ensure that every interaction is handled with respect, dignity, and care - reflecting the College’s commitment to trauma-informed, inclusive practice.

Alongside this specialist focus, you will also act as a generalist HR Administrator within the wider HR team. You’ll be a key point of contact for HR queries, ensuring colleagues, candidates, and external partners receive a helpful, professional, and responsive service. Responsibilities

Patient and Carer Recruitment Support:

  • Provide comprehensive administrative support for all aspects of the patient and carer recruitment and onboarding process, including:
    • Drafting and publishing recruitment adverts
    • Coordinating shortlisting and interview arrangements
    • Supporting with interviews as needed
    • Drafting and issuing offer letters and agreements
    • Leading on the appropriate compliance checks
    • Liaising with relevant departments on onboarding logistics
    • Creating and maintaining accurate electronic and paper personnel files
  • Ensure all processes and communication are trauma-informed, inclusive, and respectful, particularly when working with patients and carers.
  • Support the HR Manager (Patients and Carers) in maintaining and updating:
    • Intranet and website content related to patient and carer opportunities
    • Recruitment templates, toolkits, and resources
    • Patient and Carer Portal content
  • Assist with the preparation of onboarding materials and coordinate induction meetings.

Patients and Carers Administrative Support:

  • Support the delivery and administration of learning and development activities for patients and carers, working closely with the Learning team to ensure accurate recordkeeping and follow-up.
  • Support patients and carers' projects and process improvements.
  • Provide administrative support for patients and carers' work.

HR Systems and Recordkeeping:

  • Maintain accurate staff records using the HRIS and related systems.
  • Log updates to staff data, such as leave, absence, and contract changes.
  • Prepare and submit payroll information relating to new starters and contract changes to the Senior HR Adviser in a timely manner.
  • Assist with managing and logging invoices related to patient and carer services, recruitment, and external providers.

Reporting and Compliance:

  • Contribute to the collation of monthly recruitment metrics and diversity monitoring reports.
  • Assist with audits and compliance checks to ensure recruitment processes align with legal and policy requirements.
  • Escalate concerns or inconsistencies promptly and appropriately.
  • Team and Cross-Departmental Collaboration
  • Provide cover and general HR administrative support across the HR team as needed, including for recruitment and employee lifecycle tasks.
  • Respond to queries relating to patient and carer recruitment, escalating complex queries to the HR Manager (Patients and Carers) as appropriate.
  • Support cross-functional HR projects and process improvements.
  • Assist in maintaining strong working relationships with external organisations that support patient and carer recruitment.

Skills, Competencies, Experience & Attributes

Essential:

  • Familiarity with recruitment and onboarding processes
  • Clear and concise writing style 
  • Experience working in a team-oriented administrative or HR environment
  • Highly organised, with strong attention to detail and the ability to manage multiple tasks
  • Confidence and accuracy in using HR systems, spreadsheets, and databases
  • Good working knowledge of Microsoft Office applications (Word, Excel, Outlook)
  • Ability to work under pressure, meet deadlines, and prioritise own workload effectively
  • Excellent communication and interpersonal skills
  • Willingness to work flexibly and support other HR colleagues when required
  • Commitment to confidentiality, data protection, and maintaining secure records

Desirable:

  • Experience of working with external stakeholders, agencies or third-party providers
  • Experience updating websites, intranet pages, or using digital platforms for communication

Required Qualifications

  • CIPD Qualification or equivalent qualification
