About the Organisation

European Schoolnet's mission is to inspire and support its network of ministries of education, as well as schools, teachers, and relevant education stakeholders in Europe, in the transformation of education processes for 21st-century digitalised societies. Since its founding in 1997, European Schoolnet has used its links with education ministries to help schools become effective in the pedagogical use of technology, equipping both teachers and pupils with the necessary skills to achieve in a digital society.

About the role

European Schoolnet (EUN) is looking for an experienced and proactive Events Lead to oversee the end-to-end planning, coordination, and delivery of a diverse portfolio of events. These include conferences, workshops, seminars, and stakeholder meetings ranging from 10 to 600 participants, delivered in person, hybrid, and online. This role combines event management, operational excellence, stakeholder engagement, and people’s leadership to ensure the successful delivery of high-quality events that support the organisation’s mission and objectives.

Reporting to the Head of Corporate Affairs, the Events Lead will coordinate the planning and delivery of international events and manage relationships with external service providers. The role will oversee the team’s daily event-related activities, coordinate priorities, and ensure the smooth delivery of tasks while maintaining operational excellence, financial accountability, efficient resource allocation, and continuous improvement across all event activities.

Responsibilities

Event Planning and Delivery:

  • Plan, coordinate, and deliver international conferences, workshops, webinars, and stakeholder meetings in online, hybrid, and in-person formats.
  • Manage the full event lifecycle, from initial planning and preparation through implementation, reporting, and evaluation.
  • Coordinate event logistics, including venue management, registration, travel arrangements, accommodation, catering, audiovisual services, and on-site operations.
  • Ensure smooth event delivery and provide operational support during live events.

Project and Stakeholder Coordination:

  • Work closely with project managers, communication teams, and external partners to ensure successful event implementation.
  • Coordinate speakers, moderators, participants, and service providers throughout the event preparation process.
  • Maintain effective communication with stakeholders and provide timely updates on event progress.

Procurement, Contracts and Budget Monitoring:

  • Support procurement procedures for event-related services in line with organisational and project requirements.
  • Manage relationships with suppliers and service providers and monitor contractual deliverables.
  • Contribute to budget planning, expenditure monitoring, and financial reporting for events.

Event Technology and Digital Platforms:

  • Lead the operational management of event registration and event management platforms.
  • Configure and maintain event websites, registration systems, and participant communication workflows.
  • Manage online and hybrid event platforms and coordinate technical rehearsals and live event delivery.
  • Monitor developments in event technology and recommend improvements to event processes and participant experience.

Reporting and Quality Assurance:

  • Prepare event reports, statistics, participant feedback analyses, and lessons learned documentation.
  • Contribute to the continuous improvement of event management processes and tools.

Skills, Competencies, Experience & Attributes

Profile & Skills:

  • Minimum 5 years of professional experience in international event and conference management.
  • Proven experience organising and delivering online, hybrid, and in-person events.
  • Proven experience working on EU-funded projects, including service and grant-funded projects.
  • Experience managing suppliers, budgets, contracts, and procurement-related processes.
  • Advanced knowledge of event management platforms and registration systems (Stova, Eventtia, and similar).
  • Strong understanding of hybrid event production, livestreaming, and virtual event technologies.
  • Excellent organisational, coordination, and stakeholder management skills.
  • Willingness to travel internationally to support the delivery of events.
  • Experience managing events within an international, non-profit, association, NGO or EU project environment is considered a strong asset.
  • Excellent written and spoken English.
  • Strong communication, negotiation, and relationship-building skills.
  • Ability to collaborate effectively with a wide range of public and different stakeholders
  • Strong attention to detail and ability to work independently.
  • Ability to work under pressure and meet deadlines.
  • A team player with strong interpersonal and intercultural skills, able to thrive in an international environment.

Required Qualifications

  • At least a bachelor’s degree in Event management, Business administration, international relations, or another relevant field.
