About the role
The Academy Administration Assistant will provide essential administrative and operational support to the delivery of the Frank Williams Academy education programme. The postholder will support the coordination of training courses, study days, conferences and online learning activities across face‑to‑face, virtual and hybrid delivery formats, as well as support for project activity. They will ensure the smooth running of booking processes, communications and event logistics, while maintaining accurate records and systems.
Working closely with other members of the Academy team under the line management of the Education and Development Coordinator, the role will contribute to high-quality learner experiences by supporting scheduling, responding to enquiries, maintaining learning systems and assisting with post‑event processes, including feedback collection and reporting. The role is key to ensuring that Academy activity is delivered efficiently, professionally and in line with organisational standards and priorities.
Responsibilities
Programme & Event Administration:
- Coordinate the delivery of specialist education sessions, training days and other Academy activity, including managing bookings, registrations, payments and delegate communications.
- Organise and host virtual education sessions, including internal “Share the Knowledge” sessions and those delivered by clinical teams.
- Oversee event logistics and delivery across in -person and virtual formats, including venues, facilitators, travel and the provision and circulation of materials, and lead on CPD certification and post-event administration.
- Support conferences and external events organised or attended by the Academy.
Project & Team Administrative Support:
- Support research and data activities, including responding to research requests, in conjunction with the Impact Manager.
- Provide administrative support for Academy projects, including documentation, coordination, and activity tracking.
- Assist with funder reporting processes, including meeting coordination and evidence gathering.
Systems, Data & CRM Management:
- Maintain accurate, up -to-date records across CRM (Dynamics 365) and LMS (Moodle) systems, including learner, stakeholder and referral data.
- Produce and support reporting on activity, bookings, feedback and digital engagement, ensuring data integrity and clear internal insights.
Feedback, Impact & Evaluation:
- Support evaluation processes, including distributing feedback surveys, reminders and follow-up communications.
- Collate feedback and impact data, contributing to reporting and demonstrating impact for funders and stakeholders.
Stakeholder Engagement & Communications:
- Act as a first point of contact for enquiries, managing calls, emails, shared inboxes, and online systems with timely, professional responses.
- Support communications and stakeholder engagement, including promotional activity, external communications (mailings, newsletters, website, social media), and relationships with partners and healthcare professionals.
Meetings, Coordination & Team Support:
- Proactively manage diaries, book rooms, and coordinate internal and external meetings.
- Prepare agendas and attend meetings as required within the Academy, taking accurate notes and minutes (team meetings, Health & Care Advisory Group, factsheet review working group).
Operational, Governance & Compliance:
- Observe strict confidentiality regarding any information obtained through the role, and ensure that all data is collected, stored and used in accordance with GDPR.
- Ensure safeguarding and data integrity standards are upheld.
- Undertake any other tasks, duties or projects which are commensurate with the general level of this post.

Knowledge, Skills & Experience:
- Relevant experience in an administrative or project support role
- Relevant experience in the healthcare, education or charity sectors
- Experience supporting events, training or programmes.
- Experience organising or supporting online events and virtual learning delivery (using Zoom or MS Teams)
- Strong IT skills, including Microsoft Office.
- Experience using databases and CRM systems (Dynamics 365)
- Experience using LMS platforms (Moodle).
- Ability to manage data accurately and produce reports
- Experience coordinating meetings, diaries and logistics
- Experience supporting evaluation, impact or research activity
General:
