About the role
We are looking for a detail-oriented and proactive Agreements Section Assistant to join the team at the ITF. This is an exciting opportunity to play a key role in supporting our affiliate's agreements function. The Agreements Unit Section Assistant will be responsible for processing of ITF Agreement applications, monitoring consultations, assembling and verifying evidence in support of beneficial ownership; representing the ITF to ship-owners, affiliates and inspectors in connection with agreement processes and related matters; responsible for identifying source of cash receipts relating to Welfare Fund, including unallocated cash receipts and membership fees and preparing special agreements and related documentation.
The Assistant will work with internal and external stakeholders to resolve ITF Agreements and other issues; secure the active interests of ITF’s aims and objectives, and provide narrative reports for relevant decision-making bodies, including constitutional and non-constitutional entities within ITF structures.
Responsibilities
Main Responsibilities:
- Responsible for processing Agreement applications in a timely manner, monitors consultations, assembles and verifies evidence in support of beneficial ownership
- Represents the ITF to ship-owners, affiliates and inspectors in connection with agreement processes and related matters
- Creates and maintains the accuracy of databases and file records
- Advises affiliates/ship-owners and tracks the current status of applications
- Responsible for identifying the source of unallocated cash receipts relating to the Welfare Fund and membership fees
- Prepares and verifies refunds and follows up with new owners to maintain ITF coverage of the vessel
- Responds to complex and other enquiries from internal and external sources in connection with FOC Campaign Policy
- Researches shipping companies/vessels using various data and assists other sections with related research
- Assists in the training of ITF Inspectors and provides briefings on ITF procedures, and the training of other members of staff
- Attends relevant ITF meetings, as required
- Occasionally translates texts, proofreads documents and provides oral interpretation where required
- Keepsself and others informed of developments relevant to the section/Department
- Participates in maritime projects and campaigns as required and may assist other sections where necessary
- Assists the IBF Support Specialist in verifying that Collective Bargaining Agreements fulfil ITF policy
- Prepares special agreements and related documentation
Skills, Competencies, Experience & Attributes
Knowledge, Experience & Technical Skills:
- Broad experience in general administration and data inputting.
- Effective oral and written communication skills.
- Competentin Microsoft Word at a basic level and Excel at an intermediate level.
Personal Attributes & Skills:
- Ability to work as part of a team.
- Flexible/adaptable.
- Ability to work under pressure and meet fixed deadlines.
- Accuracy and attention to detail.
Desirable:
- Additional foreign language skills would be an advantage
