About the Organisation

Axial SpA is an inflammatory condition of the spine and joints. Inflammation where muscles attach to the bones causes extreme pain. If left untreated, it can permanently fuse bones together. We are the National Axial Spondyloarthritis Society (NASS), and we seek to transform the diagnosis and care of people living with axial SpA. It's an invisible and misdiagnosed condition, often leaving people feeling powerless, in increasing pain, and extreme exhaustion. So, we campaign for policymakers for early diagnosis and better services.

We work with the NHS to get axial SpA identified and diagnosed quickly. We're determined that everyone receives effective care. We make sure people with axial SpA get the latest information and the support they need to tackle living with the condition. About the role

To provide administrative support across NASS operations and the wider team, including data entry and record-keeping using our Salesforce CRM, office coordination, general administrative tasks, and assisting with health & safety compliance. 

Responsibilities

General Administrative Support:

  • Manage the admin email inbox and respond to general enquiries
  • Process incoming post, scanning and distributing documents to remote team members
  • Coordinate outgoing post and courier services
  • Send fundraising packs, membership welcome packs and monthly reminder letters
  • Assist with printing and sending letters to donors
  • Fulfil guidebook orders and organise packing and delivery of conference materials
  • Provide administrative support for NASS-organised events, including managing registrations, sending event information and packing materials 

Data Entry and Record-Keeping:

  • Download reports from donation platforms and enter transactions into Salesforce
  • Check that platform reports match Salesforce records and resolve any discrepancies
  • Update Salesforce records, including direct debit details and cancelled payments
  • Manage duplicate records and maintain data quality in Salesforce
  • Collect credit card statements and receipts from team members and consolidate into Excel reports
  • Download and file supplier invoices in organised folders 

Office and Facilities Management:

  • Act as primary liaison with landlord regarding office issues and maintenance
  • Coordinate with IT support for office technology issues
  • Organise health & safety checks, statutory inspections, and maintain compliance records
  • Order stationery and supplies, and oversee general office organisation
  • Undertake such other tasks as may reasonably be required 

Skills, Competencies, Experience & Attributes

Education and Training:

  • Willingness to undertake training and professional development

Experience & Skills:

  • Administrative experience with strong data entry
  • Experience in a charity or membership organisation
  • Strong organisational skills with excellent attention
  • Proficiency in Microsoft Office, particularly Excel for data reconciliation
  • Comfortable working with numbers and spreadsheets
  • Experience with CRM systems (Salesforce)
  • Professional communication skills (written, verbal, and telephone)

  • Reliable, trustworthy, and able to work independently
  • Able to manage deadlines and prioritise tasks effectively
  • Professional manner and ability to maintain confidentiality

Required Qualifications

  • GCSE level education equivalent
