About the role

The Senior HR Officer – UK & Affiliates plays a pivotal role in supporting the delivery of strategic and operational HR initiatives across the UK & Affiliates locations within the IPPF Secretariat. Operating within a dynamic and fast-paced environment, the role requires a proactive and experienced HR professional who can balance day-to-day operational responsibilities with longer-term people strategies.

The Senior HR Officer works closely with HR People Partner- UK & Affiliates, line managers, and team members to ensure HR policies, procedures, and practices are effectively implemented and aligned with Secretariat goals. To provide high-quality HR support and guidance across various people-related matters, including employee relations, performance management, recruitment, and policy implementation.

The Senior HR Officer ensures employment legislation and internal policies compliance while fostering a positive and inclusive workplace culture. The role contributes to the development and execution of HR strategies that enhance employee engagement, talent retention, and operational effectiveness.

Responsibilities

Employee Relations & Policy Support:

  • Providing operational HR support to the London and Affiliate offices, ensuring consistent and efficient service delivery.
  • Providing guidance and advice on HR policies, procedures, and employee relations matters, escalating complex cases as needed.
  • Supporting the people partner with review, updating, and implementation of HR handbooks, policies, and procedures for London and affiliate locations to ensure legal compliance and alignment with IPPF’s values.
  • Support the delivery of HR training sessions on systems, policies, and procedures to build HR capability across teams.
  • Build collaborative relationships across departments and with external partners.
  • Promote a positive and inclusive workplace culture, supporting initiatives that enhance employee engagement and wellbeing.

Recruitment & Onboarding:

  • Working with the People Partner to coordinate the recruitment processes for the UK and Affiliates locations. Liaising with hiring managers, candidates, and third parties, to ensure smooth and developed scheduling and process improvements.
  • Responsibility for maintaining accurate recruitment records, HRIS data, and SharePoint documentation in line with HR policies and best practices.
  • Ensuring the recruitment policy and location-specific employment law are followed, minimising risk to the Secretariat, and maintaining dignity and reputational management throughout
  • Ensuring all pre-recruitment checks are delivered as expected, and the recruitment cycle is managed to minimise disruption for internal stakeholders.
  • Coordinate onboarding and offboarding processes for employees and consultants, ensuring compliance with HR policies and safeguarding standards.
  • Delivering onboarding and induction training sessions for new joiners and tracking the probationary process to ensure objectives are tracked, and development gaps are identified and actioned on time.

HR Systems & Data Management:

  • Maintain and update HR systems (HRIS, ATS), ensuring data accuracy, confidentiality, and GDPR compliance.
  • Generate and analyse HR metrics to support the People Partner with workforce planning, diversity monitoring, and strategic decision-making.
  • Ensure all data handling complies with GDPR and internal data protection policies.

Payroll Coordination:

  • Responsible for administering monthly payroll for London and Affiliate offices, ensuring accurate, authorised, and timely processing.
  • Liaise with outsourced payroll providers to resolve discrepancies and ensure smooth payroll operations.
  • Serve as the first point of contact for payroll-related queries, providing clear and timely guidance to employees.
  • Collaborate with Finance teams and payroll providers to track payments, manage variances, and support audits and financial reporting.
  • Communicate payroll updates and changes to relevant stakeholders, ensuring alignment across HR, Finance, and external partners

Skills, Competencies, Experience & Attributes

Essential:

  • Solid understanding of UK employment law, data protection (GDPR), and confidentiality requirements.
  • Experience managing and maintaining HR Information Systems (HRIS), Applicant Tracking Systems (ATS), and payroll records with a high level of accuracy.
  • Strong organisational and time management skills, with demonstrated ability to work in a fast-paced, people-focused environment, managing multiple priorities and deadlines.
  • Experience coordinating onboarding and offboarding processes, ensuring compliance and positive employee experience.
  • Experience of advising and working across geographies and different legal jurisdictions internationally, particularly on recruitment & ER matters
  • Good evaluation and problem-solving skills with a track record of raising issues constructively, advising, and putting forward recommendations to make positive progress.
  • Excellent verbal and written communication skills, with the ability to engage effectively with diverse, multicultural, and multilingual teams.
  • High attention to detail and accuracy in data entry, documentation, and reporting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), supporting HR documentation, analysis, and presentations.
  • Ability to manage confidential information with discretion and professionalism.
  • Experience of working with HR Information Systems

Desirable:

  • Knowledge of HR practices within the international development or charity sector.
  • Experience working with outsourced payroll providers and coordinating payroll across multiple locations.
  • Good HR research and analytical skills to support policy development and benchmarking.
  • Familiarity with Personio and NetSuite systems
  • Ability to edit and manage online content (SharePoint), supporting internal HR communications and resource hubs.

Required Qualifications

  • A relevant degree or CIPD Level 3 qualification or relevant experience
