About the role
Are you passionate about planning and delivering exceptional events that make an impact? The RCP is seeking a highly organised and proactive events coordinator to join our dynamic and collaborative regional team. This is an exciting opportunity to play a key role in delivering high-quality conferences and digital events that support physicians’ professional development across the UK.
Working closely with the regional event manager and wider regional team, you’ll take ownership of planning and delivering face-to-face conferences across the UK region, ensuring seamless logistics and an outstanding delegate experience. You’ll also support digital events, including webinars and virtual conferences, helping us to reach physicians at every stage of their careers.
Responsibilities
Event Delivery:
- Collaborating with regional managers and the regional services manager to plan, organise, and deliver your assigned face-to-face conferences within the regional conference programme.
- Providing regular project status updates and maintaining accurate records.
- Full responsibility for the event logistics of your assigned conferences, including organising room setup, catering options, timings, and staffing, and act as a key point of contact on the day, briefing staff and external contractors appropriately.
- Liaising with external event venues and AV teams to ensure event details are communicated appropriately and understood by all parties.
- Anticipating problems before they arise to ensure an event or meeting runs smoothly, and troubleshooting issues on the day of an event.
Digital Skills:
- Setting up events on our CRM system and website, and testing rigorously.
- Continuously strive to improve working knowledge and use of the RCP CRM and digital systems, including MS Dynamics 365 and Microsoft Teams.
- Troubleshooting delegate booking issues and taking responsibility for monitoring event inboxes.
- Understanding the workings of our digital event platforms and management systems to support the on-the-day delivery of our digital conferences.
- Supporting the planning and development of other digital events and meetings as required.
Stakeholder Engagement:
- Understanding the different roles at the RCP and building and maintaining positive relationships with external volunteers, speakers, senior officers, and partners.
- Understanding the wider work of the RCP and how your role supports our members.
- Assist in the development of local membership support and engagement, and actively seek opportunities to promote RCP member support to local members.
- Provide excellent customer service for our members and stakeholders both through resolving queries in a timely manner and during events, ensuring our delegates' needs are met.
Marketing and Communications:
- Work alongside the Regional Services Manager to plan and deliver event marketing emails, paying close attention to deadlines and considering new and innovative ways we could promote events and increase bookings or membership.
- Paying close attention to detail to ensure web copy is kept up to date and adheres to RCP house style.
- Preparing event materials with accuracy. Producing holding slides, event signage, and delegate badges using PowerPoint or similar tools.
- Work with the Regional Services Manager to organise and brief photographers and videographers as required.
Continuous Improvement:
- Take an active role in developing SOPs and embedding processes to enhance efficiencies and provide consistency across the work of the team.
- Participate in the collection of membership and event data and take responsibility for event feedback, sharing any key findings.
- Understanding the journey of our delegates, from the moment they register for an event, to the post-event communications they receive, and looking for ways to maximise their satisfaction.
General / Other:
- Provide administrative support, organising and servicing regular internal/team meetings.
- Ensure RCP policies and procedures are adhered to and recommend changes when appropriate.
- Deputise for the Regional Services Manager where necessary.
- Any other duties that may be reasonably expected and which are commensurate with the level of the post.
- Adhere to and comply with the provisions of the RCP’s health and safety policy.
- Undertake all duties and responsibilities in compliance with the rules and regulations encompassing equal opportunities.
Skills, Competencies, Experience & Attributes
Essential:
- Minimum of 2 years’ experience in delivering face-to-face conferences, from conception to delivery
- Demonstrable record of running virtual meetings with internal and external attendees
- An understanding of the audio-visual requirements of an in-person conference
- Motivated by delivering exceptional events with a thirst for continuous improvement
- Excellent interpersonal communication skills, including tact and assertiveness, and the ability to communicate at all levels in a complex environment.
- Strong time management skills and the ability to multitask and work under tight deadlines.
- Ability to work collaboratively in a team to deliver a project
- Confident communicator who is able to form effective working relationships with a diverse range of staff, volunteers and stakeholders
- Experience in budget management for small projects
- Proficient in the use of Microsoft Office packages. Word, Excel, PowerPoint, Microsoft Teams, SharePoint and Outlook; and database systems CRM
- Experience of using online event tools (Survey Monkey, Slido, Microsoft Forms)
- Ability to work flexibly and willing to travel within the UK to support regional activities
Desirable Experience:
- Experience in the delivery of digital or hybrid conferences and events
- A driver and access to a car to transport to facilitate travel across the regions
- Experience of working in a professional/membership and health/NHS organisation.
Required Qualifications
- A-levels or equivalent qualification
- University degree-level qualification
