AIJA, the International Association of Young Lawyers, is the only global association devoted to lawyers and in-house counsel aged 45 and under. Since 1962, AIJA has provided outstanding international opportunities for young lawyers to network, learn, and develop. AIJA currently has a community of over 6,000 people in 100+ different countries. The AIJA community is very diverse, with members coming from law firms of all sizes and cultures, as well as in-house counsel, in both the private and public sectors.
The activities of AIJA are coordinated by 18 academic commissions, in charge of organising our events all around the globe and keeping members up to date in their respective areas of practice. AIJA is committed to defending and taking an active part in promoting core legal principles, such as the rule of law and human rights principles. We respect the integrity of each civilised society of the world and aim to advance cross-cultural understanding among members and other participants in the legal profession.
About the role
The International Association of Young Lawyers (AIJA) is seeking an Operations and Community Manager responsible for ensuring AIJA’s operations are running efficiently and meet its operational objectives internally and for its members. This is an operational and project management role designed to support and deliver on operational priorities set out by the Bureau, the Managing Director, and the membership at large. This role will act as the lead on operations and community. This role will support day-to-day operational requirements with the administrative team and will also include the project management of transformational projects, including, but not limited to, a website and membership portal update project.
The International Association of Young Lawyers (AIJA) invites applications for the role of Operations and Community Manager, an organisational and transformational position within our association. As the Operations and Community Manager, you will manage operational day-to-day efficiencies, support AIJA’s membership and community, and project manage the transformation of AIJA’s website and membership portal. This role offers a unique opportunity to improve the membership experience to a community that significantly contributes to the international legal world and work with a passionate team and organisation.
Responsibilities
Management of Operational Administration and Organisation’s Community:
- Directly manage and develop the Operations team with day-to-day operational task management with a focus on process efficiency and clear communication.
- Manage the technology stack between the website, project management tools, and
- Customer Relationship Management tool in a cross-collaborative function.
- Supports the Managing Director to improve operational efficiencies within areas of responsibility.
- Support on the maintenance, accuracy, and analysis of organisation and membership data.
- Report and provide consistent insight on the organisation’s data with a keen focus on accuracy and automation.
- Stay up to date with the Managing Director on tool capability and spearhead automation of workflows or expansion of tool usage team-wide.
- Develop, implement, and maintain automation of event registration and
- membership dues in coordination with the strategic direction of the Managing Director and the tactical application with third-party providers.
- Maintain high standards for the internal team’s collaboration with membership communication and responsiveness.
- Maintains membership governance standards in coordination and collaboration with the Security General. Including, but not limited to, the membership review and approval process.
- Manages operational aspects of the organisation’s elections, including external tool management, training, and operational aspects of the election itself.
- Overall support for various governing bodies, boards, and committees, such as, but not limited to, the Elections Board, National Representatives Committee, and Officers of the Commissions Committee.
Resource Management and Transformational Project Management:
- Support the Managing Director with managing the technology stack, operational tools, and operational third-party providers.
- Audit, evaluate, and report on tool usage and data maintenance, specifically on data accuracy and cross-platform synchronisation.
- Support the Managing Director in developing efficient tool usage with the team across platforms.
- Support the Managing Director in scoping and project management for website and membership portal updates.
- Own the project management of website and membership portal
- improvements, including, but not limited to: coordinating with third-party providers, data migration, managing website build or platform integration, and training upon completion.
- Post project completion, maintain operational efficiency and accuracy of the website and membership portal, and synchronization with CRM.
- Project management of current projects, such as, but not limited to:
- Podcast production in concert with third-party producer and AIJA Bureau, members, sponsors, speakers, and team.
- Website “Yellow Pages” and the accuracy of Officer information.
- Detailed preparation, minutes, and other governance tasks for
- Governance events, like the General Assembly and Executive
- Committee meetings.
- Conference app production in concert with a third-party producer, and AIJA team, and the Organising Committee.
Cross-Functional Coordination and Membership Support:
- Act as the Operations and Administrative link across Events, Finance,
- Marketing and Communications, the Managing Director, and the Bureau.
- Develop and implement a support policy in coordination with the Managing
- Director is to ensure that members, prospective members, and event attendees are communicated with in a timely and professional fashion.
- Support team in management and delivery of the virtual components of the AIJA hybrid in cooperation with the Events team.
- Support team in detailed data analysis and collection, ensuring accuracy and consistency in reporting.
- Various travel to support team for event coverage and to engage with membership and the community at large.

- Strong project management skills and the ability to lead project management implementation.
- Technologically savvy across project management and Customer Relationship Management tools.
- Data-driven approach with a rigorous focus on accuracy and automation.
- Exceptional reporting skills with consistency and efficiency. Possesses data insight acumen in order to provide insight and trends on reporting.
- Excellent communication and experience in developing and training team members on operational processes and technology.
- High skill level of prioritisation of planning and organisation, with a bias towards efficiency.
- Adaptable to changes in a constantly evolving work environment, manages competing demands, and effectively deals with change, delays, or unexpected events.
- Identifies and resolves problems in a timely manner by gathering and analysing information and acting skilfully.
- Seasoned, flexible, and energetic team player with a growth mindset.
- Fluency in English (written and spoken) is essential, and proficiency in other languages is an advantage.
- Availability and readiness to undertake international travel as required.
Qualifications:
- Proven experience (5+ years) in event management, particularly large-scale events.
- Strong project management, organisational, and multitasking skills.
- Excellent communication, negotiation, and problem-solving abilities.
- Budget management expertise and a proactive, positive approach.
- Experience in tech-forward solutions to project and event management with a keen eye on effective reporting.
- Fluency in English, with additional languages being advantageous.
- Availability for travel as part of the role.
