About the Organisation
We are a charity and membership organisation of more than thirty professional bodies and learned societies from across the breadth of science, collectively reaching over 320,000 scientists, science technicians, and science teachers. Established as a charity in 2003, we were awarded a Royal Charter in the same year. Our purpose is to connect the science professions and offer professional recognition for scientists, science technicians, and science teachers.
Our vision is a diverse and growing science profession that is trusted, respected, innovative, and equipped to meet regional, national, and global challenges. We license member organisations to provide individuals with the following professional registration awards: Chartered Scientist, Chartered Science Teacher, Registered Scientist, and Registered Science Technician.
We promote and advocate for professional registration for the science workforce. Engaging with member organisations, potential members, science employers, partner organisations, and volunteers is central to our work. The engagement team ensures that we communicate effectively with individuals and organisations, host events, exert influence on their behalf, and help them improve diversity and inclusion in the science professions.
We are a small team with staff working across a broad range of areas. We promote the contributions of scientists, science technicians, and science teachers in a positive and balanced manner, and we are collaborative in our approach to debate and discussion. About the role
We are seeking a dynamic and strategic Events Manager to develop, lead, and deliver our Science Council events, working closely with Science Council members, registrants, and key stakeholders. This pivotal role will be responsible for the development, execution, and evaluation of both face-to-face and online events. The ideal candidate will be a strategic thinker who focuses on hands-on execution and is enthusiastic about delivering high-quality, professional events.
Responsibilities
Event Planning and Management:
- Plan events from start to finish, identifying the purpose and outcomes for each event.
- Manage, coordinate, and deliver face-to-face and virtual events, including agenda setting, speaker sourcing, invitations, event preparation, the use of presentational materials, organisation and facilitation of breakout sessions, Q&A sessions, and other modes of engagement/interaction. For some events, you will be hosting and facilitating yourself; for other events, you will be supporting others to perform these roles.
- Source venues and suppliers and be a primary contact for venue and supplier liaison.
- Be the primary contact for problems at events and ensure issues are resolved.
- Develop event budgets and timelines that are realistic and ensure that they are observed.
- Build and introduce strategies to recoup the costs of events. sponsorship and ticketing.
- Use technical skills and understanding of AV requirements to ensure professional event delivery.
- Write event evaluation reports, based on attendees’ experience, to aid future planning. Gather appropriate data and analyse success against key performance metrics.
- Work closely with the Senior Marketing & Communications Officer to ensure the promotion of events.
- Responsible for invitations to relevant audiences as well as post-event follow-up.
- Plan events to ensure that they are inclusive and accessible to all audiences, and that speakers are representative of diverse backgrounds and skill sets.
- Host relevant member forums for the Science Council (Event Manager Network), including administration, sourcing speakers, and agenda design.
- Collaborate with external stakeholders to foster warm relationships with supporters of the organisation.
- Assist with projects across Science Council teams as required.
Content Development:
- Build suitable content, designed to increase engagement with the Science Council and promote professional registration.
- Conduct video editing for legacy footage and further promotion of events.
- Bring new event ideas to the Science Council team.
- Identify new approaches to boost event income.
Skills, Competencies, Experience & Attributes
Required Experience:
- Proven track record in event planning and management, both face-to-face and online
- Proven history of leading all elements of an event, including concept development, logistics, sponsorship, and execution
- Stakeholder and partner collaboration
- Risk and compliance awareness
- Budgeting and financial management oversight
- Crisis management / on-site problem solving
- Diversity, equity, and inclusion integration
- Data-driven event evaluation
Desirable Experience:
- Event management in either the science field or charities
- Fundraising and development event experience
- Coordinating member -exclusive events and engagement
- Volunteer management
- Video editing skills
Required Skills and Personal Qualities:
- Able to develop and oversee every aspect of event planning and logistics.
- Able to deliver different types of events, including hosting webinars and facilitating online and in-person groups
- Superb communication and interpersonal skills to network and build rapport with a range of stakeholders.
- Excellent written and oral communication skills to draft event materials and lead internal and external teams to deliver professional events.
- Strong project and time management skills, with attention to detail
- Excellent collaborative skills to persuade, support, and encourage volunteers, event staff, and internal teams to deliver successful events.
- Able to work with people from all levels (very senior to very junior) and from a wide range of backgrounds.
- Able to analyse a situation and remain calm under pressure, and problem solve to keep events on track, despite challenges.
- Skilled in developing audience-centric programming.
- Able to continuously innovate and enhance processes for ongoing event development.
- Technically literate and familiar with a range of AV systems, event management software, CRM/databases.
- Able to design accessible, inclusive events that resonate across diverse backgrounds.
- Skilled in providing tailored content to engage diverse audiences.
