Small associations are under growing pressure to deliver professional member services, effective communication, good governance and increasingly sophisticated digital experiences, often with very limited budgets and small teams. Yet associations can easily invest in software with capabilities far beyond their actual needs, leaving expensive features unused, putting pressure on limited budgets and increasing dependence on external providers.
Using the European Mosquito Control Association (EMCA), a European scientific association of around 100 members, as a practical case study, Lysi Slavi will share how its digital ecosystem developed step by step over almost a decade. When she took over the Secretariat in 2017, the handover consisted essentially of a USB stick containing Excel files with membership and payment records and a basic blog. As new operational and communication needs emerged, practical digital solutions were introduced one by one.
The seminar will take participants through real examples from EMCA, including membership data management, electronic elections, website and member communication, professional visual content, Working Group collaboration, event support, preservation of photographic and organisational archives, and more recently AI-supported institutional memory and event participant support. Today, these solutions form a broad digital ecosystem with a core annual software cost of around €1,200, while almost all of its day-to-day management remains in-house.
This is not a seminar about which software associations should buy. It is a practical story of how one small association responded to its challenges over time, what worked, what required learning and adaptation, and what could still be improved.
The aim is to give participants concrete examples and ideas they can reflect on when considering the needs, tools and resources of their own associations.
The seminar is particularly relevant to small associations, organisations under financial pressure, newly established or “association-to-be” organisations, and associations looking for alternative, more sustainable ways to manage their operations with limited resources.
