About the Organisation
IETM – International network for contemporary performing arts is one of the oldest and largest international cultural networks, representing the voice of over 500 member organisations and individual professionals working in the contemporary performing arts worldwide. We create, organise, and execute a large range of activities each year, for our members and the wider performing arts sector. These include small and large events all over the world, advocacy actions and campaigns, research and publications, training, and community engagement. In addition, we pioneer dialogues and initiate developments on the most pressing topics in our sector and society at large.
About the role
The Membership Officer will support the Membership Manager with their daily tasks. During the contracted period, the Membership Manager will split their time between IETM’s membership activities and coordinating an IETM-led project until 31 March 2026. Additionally, the Membership Officer will execute tasks in collaboration with the IETM Production and Communications teams.
The Membership Officer will report to the Membership Manager, who is their Line Manager. They will also work in close collaboration with the Communications and Production team members. Team meetings are held once a week with the wider Secretariat team, and a job appraisal takes place once per year.
Responsibilities
General Membership Management Tasks:
- Support the implementation of the yearly membership renewal process and the onboarding of new members, including liaising with the IETM administrator.
- Support the onboarding process of new IETM members, including administrative tasks and welcoming new members via online sessions.
- Answer email requests and queries regarding the IETM membership.
- Building and maintaining relationships with the IETM members, as well as potential IETM members.
- Monitor the users' accounts created on the IETM website: approving new accounts, assisting in account creation, supporting members with access and updates.
- Keep the IETM CRM database (CiviCRM).
- Produce statistics about the members and create engaging slide presentations.
- Supporting the preparation of IETM elections and the General Assembly 2026 in collaboration with the Secretary General and Membership Manager.
Communications Tasks:
- Contribute to updating and maintaining the IETM website (Drupal CMS) by uploading texts and building forms.
- Collaborate with the comms team to create dissemination strategies to engage the IETM membership.
- Supervise the members-only tools of the IETM website: approve members' news, articles, and call to actions, forum management, and maintenance of the advanced search tool.
- Collect sector news to share with the network and beyond.
IETM Events:
- Oversee the IETM travel grants, including the administrative follow-up with members.
- Coordinate the application and selection process of IETM Pitchorama, IETM’s pitching session.
- Support the implementation of the IETM Buddy System.
- Manage requests and registrations of delegations for IETM events in collaboration with the Production team.
- Draft VISA or funding invitation letters for IETM members in collaboration with the Production team.
IETM Projects:
- Support the implementation of IETM Global Connect, including booking travel and supporting the production of the programme’s podcast.
- Contribute to the development of upcoming new membership projects.
- Support the reporting for the ETM EU network grant, in collaboration with the Secretary General and Membership Manager.
Skills, Competencies & Experience
- Two years of work experience (internships included) within the cultural sector in similar positions (examples are marketing, community management, project management, administration etc.).
- Strong interest in, and good knowledge of, the contemporary performing arts sector.
- Basic understanding of office software (Microsoft 365, Google Suite, and Zoom) and have the confidence to learn other applications as required.
- An analytical mind: numbers and Excel sheets are your friends.
- Familiar with CRM tools and Excel, and interested in learning more.
- Fluent in spoken and written working English (knowledge of other languages is a bonus) and have the ability to communicate effectively both in writing and in person.
- Able to build and maintain excellent relationships with the team, external partners, members, and participants.
- Passionate about creating outreach and engagement strategies through an innovative and inclusive approach.
- Relate to the values of openness, flexibility, inclusiveness, fairness, and curiosity.
- Fast learner and a good listener.
Required Qualifications
- Bachelor's degree in a relevant subject (Cultural Management/Administration, Marketing, Management, etc.)
Compensation & Benefits
- Luncheon Vouchers 7 euros per day
- Travel vouchers
- Overtime will be compensated
