International Diabetes Federation (IDF) is an alliance of over 250 national diabetes associations in more than 160 countries and territories. Our mission is to improve the lives of people with diabetes and prevent diabetes in those at risk. We have been at the vanguard of global diabetes advocacy for over 75 years. The organization’s strategy is implemented by the Executive Office, which, for the last five years, has been working as a virtual organization with team members across the globe.

About the role

We are seeking a (Senior) Director Members, Regions & Internal Affairs who oversees internal affairs and, through appointment by the Board of Directors, also functions as Secretary to the General Assembly and the Board of Directors. The (Senior) Director Members, Regions & Internal Affairs reports to the Executive Director of the Executive Office and is a member of the Senior Leadership Team. The role has a direct link to the IDF President for the organization of statutory matters and meetings of the General Assembly and the Board of Directors. The (Senior) Director has three direct reports.

Responsibilities

(Senior) Director Members, Regions & Internal Affairs Responsible:

  • Annual statutory cycle of meetings, plans, budgets, decisions, activities, and reports in compliance with the IDF Articles of Association and the Belgian legal and administrative framework;
  • Effective engagement and expansion of IDF’s member base and a healthy development of membership dues;
  • A team that is fit for purpose, motivated, and compliant with all relevant Belgian regulations;
  • A well-oiled machine of the IDF’s finance, internal operations, and support functions.
  • Engaging IDF’s institutional members and regions, as well as its individual members and fellows, based on a coherent, attractive stakeholder engagement approach:
    • Define, implement, and manage an attractive member proposition for IDF’s different member and fellow categories;
    • Ensure a coherent work process and an effective process of exchanging information with, consultation of, and participation by IDF members and regions in the various activities and events of the Federation, in close cooperation with the other directors and functions;
    • Maximize membership revenue through an up-to-date, effective, and equitable system of member dues;
    • Optimize the composition of IDF’s membership portfolio, aiming for growth and increased global representativeness.
  • Managing all regular and exceptional meetings of IDF’s General Assembly, its Board of Directors, and all other statutory bodies of IDF:
    • Ensure legal and governance compliance with the IDF Articles of Association and the Belgian legal and administrative framework in consultation with relevant legal counsel;
    • Coordinate, in close collaboration with the IDF President, the organization of ordinary and extraordinary meetings of the General Assembly and the Board of Directors;
    • Oversee the whole IDF Membership coordination, development, and relationship.
  • Managing the financial planning & control cycle with all related tasks, meetings, and activities:
    • Oversee the drafting, proposal, approval, and communication of annual budgets and reports, as well as the periodical financial reports and updates;
    • Together with the finance manager and the corporate controller, provide insight into revenue streams and the achievement of financial objectives by building, maintaining, and reporting through an up-to-date financial dashboard;
    • Drive cost efficiency through cost awareness, effective procurement, and operational efficiency;
    • Manage the finance team and the related systems, controls, and platforms.
  • Managing operations in HR, Legal, ICT, and other support functions:
    • Secure, in a timely and conclusive manner, any necessary legal expertise for the effective and compliant operation of the organization, required for, amongst other things, the evaluation and engagement of contractual obligations and the compliance with legal obligations and rights that follow from the Belgian Company Code and any other national and European regulations;
    • Ensure that IDF’s HR policies and procedures meet the requirements of Belgian law and best practices within the not-for-profit sector;
    • Serve as IDF’s most senior human resources specialist, responsible for establishing and implementing appropriate policies and helping IDF’s managers to recruit, onboard, and develop team members as well as manage, assess and improve individual and team performance;
    • Oversee office and information management as well as the implementation and operational stability of ICT-based business applications and solutions;
    • Take appropriate and well-documented action in the areas of risk management, physical and cybersecurity, data privacy, and insurance.

Skills, Competencies & Experience

  • Solid experience with international and multi-cultural member-centric organizations;
  • Minimum of 5-10 years of experience in a hands-on management role;
  • Proven track record in stakeholder engagement, financial management, HR, and performance management;
  • A solid knowledge of the Belgian regulatory and administrative framework that applies to associations, to the financial and legal household of organizations, and to employer-related matters;
  • Strong leadership capabilities to engage, empower, and develop team members in an inspiring, performance-focused manner;
  • French or Dutch native speaker with a high level of spoken and written fluency in English. Preferably, fluency in at least one other language.
  • Ability to manage multiple priorities and deadlines without losing overview;
  • Capability to lead a multicultural, international team that operates on a virtual basis;
  • Organizational, political, and cultural sensitivity and a strong ability to build bridges;
  • Capacity to combine a helicopter view with a strong attention to detail and precision.

Required Qualifications

  • Master's degree in a relevant field (Business Administration, Public Health, International Relations);
