Since its foundation in 1876, our members have made significant contributions to our knowledge of biological systems and the treatment of disease. The Society promotes physiology and supports those working in the field by organising world-class scientific meetings, offering grants for research, collaboration, and international travel, and by publishing the latest developments in its leading scientific journals.

About the role

This role is central to delivering the Society’s strategy to support physiological communities, and grow and retain a vibrant global membership community. The Membership and Grants Officer will lead operational delivery of key membership and grants processes, while driving a more relationship-focused, data-led approach to engagement with key communities. The postholder will take ownership of our CRM, lead on segmentation and analytics to inform decision making, and strengthen how we engage with current and prospective members.

Responsibilities

Membership Operations and Relationship Management:

  • Lead the end-to-end delivery of membership processes, including applications, renewals, upgrades, and lapsed member outreach, promoting the full value of membership benefits.
  • Manage the membership journey to support an excellent member experience and promote retention.
  • Act as the primary contact for membership enquiries, providing excellent and timely service via email and phone. Drive membership growth through initiatives as directed by the Board Working Group recommendations (expected Q4 2025).
  • Manage and improve CRM records (Microsoft Dynamics), ensuring data quality and completeness to support engagement and insight; and project manage CRM development.
  • Build and maintain meaningful relationships with members and the wider physiology community, using CRM tools to track engagement and support targeting and improving synergies across the organisation; 
  • Maintain membership database and ensure GDPR compliance;
  • Follow up new membership leads and identify opportunities to drive recruitment and retention

Data Analysis and Reporting:

  • Lead monthly and annual membership reporting, identifying trends and opportunities for improvement.
  • Support tagging, segmentation, and other CRM development to enable smarter communications and engagement.
  • Deliver and analyse the annual membership survey, contributing to strategic planning and Board reporting.
  • Collaborate with colleagues across the organisation to ensure CRM data supports other Society activities.

Grants:

  • Manage the full lifecycle of assigned grants, from application, review, to post-award, ensuring timely and accurate delivery.
  • Provide clear communication and guidance to applicants and awardees.
  • Track grant uptake and impact, and support improvements to processes and reporting.

Collaboration and Project Support:

  • Support delivery of the Society’s membership strategy and engagement initiatives
  • Contribute to cross-team projects to improve user journeys, promote membership benefits, and strengthen our community offer
  • Work with the Communications and Membership Manager to design and deliver targeted campaigns to grow and retain membership

Skills, Competencies & Experience

Essential:

  • Strong organisational abilities and a proactive approach to problem solving, with the ability to meet competing deadlines, resilience with changing circumstances, and the ability to resolve problems. 
  • Ability to work independently, as well as collaboratively as part of a team, engaging with colleagues across the organisation.
  • Ability to communicate clearly, both orally and in writing, with a keen attention to detail.
  • Ability to prioritise with good administration and organisational skills.
  • Experience in using CRMs for record management and reporting.
  • Confident with analytical ability and multi-tasking.

Desirable:

  • Experience in using Microsoft Dynamics CRM
  • Experience working in a membership body in a similar role.
  • Experience in managing small grant schemes or similar processes.
