About the Organisation

EuroGeoSurveys (EGS) is a not-for-profit association representing the Geological Survey Organisations of Europe. Through the collaborative research and activities of our Expert Groups and Task Forces, and provision of open-access, harmonised geological maps, data, and data infrastructure, we provide the European Institutions, regulators, industry, and the public with expert, balanced, and practical pan-European geoscience data and advice to guide policy and to address key societal challenges.

About the role

EGS is currently seeking applications for the position of Junior Administrative Officer. We welcome applications from dynamic individuals, comfortable with multitasking and able to communicate readily with colleagues, members, and providers. Applicants can look forward to becoming part of a small and highly versatile international team.

Responsibilities

Administrative Support:

  • Support for regular meetings, including webinars and statutory meetings, including taking minutes.
  • Monitoring of email inboxes, updating mailing lists, and support with formal document preparation.
  • Manage meeting room bookings and provide support during meetings.
  • Support with regular office tasks such as general office management, office purchases.
  • Assist Secretariat staff with other general tasks, as required and under the direction of the Secretary General.

Event and Logistics Support:

  • Provide logistical support for project training sessions and events (tracking participant applications, flight bookings, other possible documents, and contact with hotels or other venues).
  • Provide logistical support for other meetings, conferences, and other events as needed.

Communications and Outreach:

  • Support with drafting and sharing content across social media channels and other communications support, as needed.
  • Assist in the preparation of press releases, briefings, and training session materials.
  • Support editing, design, and production of communication materials, including newsletters, reports, leaflets, brochures, and other publications, as needed.

Skills, Competencies & Experience

Required Skills and Experience:

  • Experience in and evidence of effective administrative skills in an office environment.
  • Ability to work independently, proactively, and under pressure in a fast-paced, international environment.
  • Excellent teamwork skills, work ethic, attention to detail, and integrity.
  • Ideally, a working knowledge of WordPress, MailChimp, Canva, and Adobe Creative Suite.
  • Excellent written English language skills, with attention to detail.
  • Excellent communication skills in English and French will be an asset.

Required Qualifications

  • Minimum Diploma in Business Administration, Accounting, Finance, or a related field.

Conditions of employment

Working locations

  • Remotely working in Brussels, Belgium
  • Occasional travel within Europe may be required.
