About the role

To achieve this vision, ENAR is looking to recruit an Events and Administration Associate. You’ll be working as part of our Finance and Operations team but will have contact with the whole organization, as well as its members. A big part of the job will be for events organised by the Network Development team. Reporting to the Finance and Operations Manager, you will be tasked with organising the logistical aspects of events from A to Z, including being the primary contact with suppliers, communications with participants, follow-up of reimbursements, etc. As well as supporting the administration team in overseeing the office space and the team’s needs.

Responsibilities

Event Management:

  • Manage the logistical organisation of all ENAR meetings and events, and coordinate with suppliers for these activities;
  • Source and map suppliers and venues that are fit for purpose, cost-effective, and in accordance with our values;
  • Oversee event budgets and ensure cost-effectiveness;
  • Serve as the primary contact for event service providers;
  • Collaborate with the Network team in managing event registrations and communications with participants before, during, and after the events;
  • Use the ENAR CRM platform (GlueUp) for email campaigns and event registrations.
  • Support to the Finance team by processing reimbursement requests from participants;
  • Support the Network Development team and the Operations team in reporting.

Administration Support:

  • Arrange travel for team and board members as needed and according to budgetary guidelines;
  • Follow up with providers and other stakeholders on financial documentation.
  • Manage correspondence (emails, letters, packages, and courier services).

Office Management Support:

  • Support for the reception of visitors and logistics related to internal meetings;
  • Manage office supplies, equipment, and maintenance services;
  • Liaise with vendors, service providers, and landlords/building management;
  • Monitor and control inventory to avoid shortages or excess.

Skills, Competencies & Experience

Personal Requirements & Skills:

  • 1-2 years of formal or informal experience in a similar role;
  • Excellent command of written and spoken English, additional languages such as French or Dutch are a distinct advantage to liaise with Belgian-based suppliers;
  • Strong organisational and time management skills;
  • Strong written and verbal communication competencies;
  • Adaptability and problem-solving skills;
  • Keen interest in event logistics and administration;
  • Team-oriented mindset and willingness to collaborate with others;
  • Social justice and civil society experience are a plus.
  • Commitment to ENAR’s cause and genuine interest in supporting its mission.
