About the role

Conference & Event Services (CES) department of the British Association of Dermatologists is looking for an enthusiastic person to join their small team. The successful candidate will have an interest in organising conferences and events and a willingness to learn. The position represents a good introduction to all aspects of organising meetings in the medical charity sector. The successful candidate will join a total team of 46 staff working across a range of different areas, including Conference and Events, Clinical Standards, Service Improvement, and Education.

Responsibilities

  • Assist the CES Manager with regards to the Annual Meeting and other meetings organised by the CES Department.
  • Front-line response to all incoming enquiries to the Conference department.
  • On-site support at events.
  • Registration of delegates and maintenance of the delegate database.
  • Mailing of conference literature.
  • Dealing with delegate enquiries prior to the events and on-site.
  • Assist in proofreading of conference literature.
  • Assist in the coordination of the social programme for the Annual Meeting
  • Provide some front-of-house assistance for internal meetings held within the Central London Headquarters Office.
  • Assist the team and the wider BAD staff with additional tasks as required

Skills, Competencies & Experience

Experience

  • Experience in good time management and meeting deadlines 
  • Experience in an administrative role
  • Event experience or working in a customer-facing role

Skills and Abilities:

  • High computer literacy with accurate word processing skills and sound knowledge of Windows-based applications and Microsoft Office, including Excel, Teams, and SharePoint OneDrive (or similar cloud-based storage)
  • Working to deadlines 
  • Ability to proofread accurately
  • Ability to produce high-quality documentation
  • Effective communication and organisational skills
  • Good numeracy and literacy skills 
  • Ability to work on own initiative 
  • Ability to respond to changing workload and prioritise workload 
  • Ability to work as a team

  • Ability to follow set procedures 

Skills and Attributes:

  • Enthusiastic and confident individual interested in learning about all aspects of event management in a busy environment.
  • Able to handle a variety of administrative duties, with the ability to multitask.
  • Good organisational skills with attention to detail.
  • Comfortable communicating with a wide range of people via phone, email, and face-to-face.
  • Ability to work to deadlines.
  • Good MS Office skills, including Word, Outlook, and Excel.
  • Able to work outside of contracted hours during events.
