About the role

The Professional Networks Events Administrator will support the Professional Networks Team in its busiest time of the year to develop and deliver events that form part of the annual Networks work plan. These events are part of the wider Professional Practice and Quality Improvement offer for RCR members and Fellows at all stages of their careers, plus wider stakeholders, and will be delivered in the UK online and in person. The role has an operational focus. It provides flexible, reactive coordination support to internal stakeholders, professional networks with whom the RCR collaborates, as well as communications with members, Fellows, partners, and external suppliers.

Responsibilities

Event Administration, Operations & Logistics:

  • Develop and deliver from start to finish a limited number of smaller-scale events annually for professional network audiences based in the UK; ensure these are delivered on time, on budget, and are of high quality, with support from colleagues where necessary.
  • Work closely with the Professional Network Coordinators and Network leads to identify and confirm inspiring and up-to-date programs, speakers, clear learning outcomes, and event materials (speaker presentations, handouts) that meet the needs of members of our networks.
  • Follow and contribute to the development of existing event project management templates and frameworks, to support consistency of approach and a learning culture across the Networks team. Create any new processes where needed.
  • Support colleagues across the team (and in some cases, wider RCR) with in-person and online events delivery, ensuring events are well managed and resourced.
  • Collect and collate data that enables assessment of the success of the events the role leads on, working with a team of colleagues to produce an evaluation report with actionable recommendations.
  • Manage the administration of post-event feedback surveys and CPD certification for attendees and network leads, to cover all events delivered by the team.
  • Build solid professional relationships with network leads who are key stakeholders for the Networks team.

Financial Administration:

  • Where required, adapt and apply per-product budget templates for our repeatable, smaller-scale products, ensuring that they are accurate, including direct and staff costs, as well as forecast delegate and sponsorship income.
  • Proactively track and monitor event expenditure and income, reconciling budgets at the end of event periods to inform evaluation, and report on team and organisational targets.
  • Ensure Network Leads are clear on RCR sponsorship processes and work closely with the RCR Learning team to deliver agreed event-specific sponsorship benefits for events the role leads on.
  • Ensure the financial viability of events this role leads on by identifying cost-effective options and reviewing and negotiating on expenditure with third parties where necessary, with the support of team colleagues.

Team Administration:

  • Facilitate the improvement and development of Professional Networks reporting via RCR systems, collaborating with colleagues across the team and organisation to streamline access to and visualisation of data.
  • Monitor and respond to queries about the overall Networks program (events, webinars, e-newsletters, and resources) from stakeholders via telephone and email, triaging and redirecting to relevant colleagues.
  • Support the preparation of any materials and resources needed to facilitate attendee participation in learning activities (online and in person), including the administration of printing.

General:

  • Maintain and manage records according to the RCR’s data protection policy and guidance.
  • Maintain documentation on all activities carried out.
  • Undertake such other duties appropriate to the level of the postholder’s qualifications and experience as may be required by the RCR from time to time.

Internal Working relationships:

  • Colleagues across the RCR, working collaboratively and sharing information to support the delivery of the RCR Learning offer.
  • Elected Officers - providing information, guidance, and support.

External Working Relationships:

  • Event organisers lead, subject matter experts, speakers and delegates, other contributors liaison, providing guidance and support.
  • Contractors, suppliers negotiating contracts and ensuring delivery to contract terms.
  • Partners and sponsors providing information and support.
  • Other medical royal colleges and professional bodies share information, liaison, and facilitate collaboration.

Skills, Competencies & Experience

Knowledge, Qualifications & Experience:

  • Experience working in event administration across in-person, online, and hybrid formats, including working with external experts to deliver activities.
  • Ability to work with budgets and track income and expenditure for a variety of activities simultaneously. 
  • Proven experience in providing high-quality customer service to stakeholders
  • Ability to use and maintain a database or equivalent to keep up-to-date and accurate records.
  • Experience using Microsoft packages, and/or online event delivery platforms, Zoom or MS Teams.
  • Experience in working collaboratively as part of a team, as well as being self-motivated to work well independently on projects

Skills & Abilities:

  • Accurate use and understanding of English.
  • Demonstrable organisational and administrative skills, with good attention to detail and a proactive, flexible working style.
  • Good communication and interpersonal skills, and the ability to build and sustain effective working relationships with a diverse range of colleagues, partners, and stakeholders at all levels
  • Ability to use initiative and suggest and implement solutions to problems, knowing when to consult and involve colleagues and stakeholders.
